Customer Care Lead

Stands in for

The support lead you would hire once you could afford one.

What it does

Customers tell you what they need, but the messages are spread across your inbox, reviews and comments. The Customer Care Lead reads them each weekday. It drafts a reply to each one in your voice and points out the customers who sound unhappy enough to leave, while there is still time to help.

Once a week it sums all of that up in a short support report. What do people ask for most? Where do they get stuck? Which product change would cut the most questions? In Prepare Only mode every reply waits for you, so nothing goes to a customer you have not seen.

Its routines

Each weekday

  • Inbox read Reads new customer emails and sorts them by topic and urgency.
  • Reply drafts Writes a reply to each message in your voice, saved as a draft.
  • Review watch Checks review sites and comments and drafts responses.
  • At-risk flags Marks customers whose messages suggest they may cancel or leave.

Once a week

  • Weekly support report Lists top requests, sticking points and the fix that would help most.
  • Help page updates Drafts new or better help articles for common questions.

Once a month

  • Retention review Looks at who left or nearly left and what might have helped.
  • Reply quality check Reviews a sample of sent replies and updates its tone guide.

What it drafts for you

  • Replies to customer emails and reviews
  • A list of customers who may be about to leave
  • A weekly report on what customers need
  • New or updated help articles

What it won’t do

It never…

  • Send a reply to a customer without your okay
  • Issue refunds, credits or discounts
  • Close or delete a customer account

Its first week

  1. Day 1: you connect your support inbox and share a few replies you are proud of.
  2. Days 2 to 4: it drafts replies and you edit and send them.
  3. Day 5: it writes its first weekly support report.
  4. End of week: you decide if simple replies, like order status, can move to Supervised.

Good for

  • Online shops
  • Subscription and software businesses
  • Service businesses with repeat clients
