Customer success and retention
Success Manager
Stands in for
The customer success manager who would onboard new customers and keep the good ones.
What it does
Most customers do not complain before they leave, they just go quiet, and you find out at renewal. The Success Manager watches for that. It tracks how each customer is actually using what they bought, spots the ones going quiet or stuck early, and drafts a timely, human check-in before the drift becomes a cancellation.
It also owns the start, which is where retention is won or lost. For every new customer it drafts an onboarding sequence that gets them to their first real win fast. It keeps a simple health read on each account, green, watch or at-risk, so you always know where to spend your attention. It drafts the outreach; you send it. The Customer Care Lead answers the inbound; this one reaches out first.
Its routines
Each weekday
- Account health read Updates a green, watch or at-risk read on each customer from how they are using you.
- At-risk check-in drafts Drafts a personal check-in to customers who are going quiet or stuck.
- Onboarding drafts Keeps the first-days sequence for new customers written and matched to your product.
- Milestone notes Drafts a note when a customer hits a win worth celebrating.
Once a week
- Renewal heads-up Flags renewals coming up and whether each one looks safe.
- Usage review Notes which features customers get stuck on, for you and your product team.
Once a month
- Churn review Looks at who left and what signal was there beforehand.
- Expansion note Flags happy customers who are ready to be offered more.
What it drafts for you
- A health read on every account
- Check-in and onboarding emails in your voice
- A weekly list of renewals and risks
- A monthly churn-and-expansion review
What it won’t do
It never…
- Send a message to a customer without your okay
- Issue refunds, credits, discounts or renewals
- Change or cancel a customer’s account or plan
Its first week
- Day 1: you connect your usage or customer data and share a few check-ins you like.
- Days 2 to 3: it builds the health read and you correct any account it misjudged.
- Day 4: it drafts onboarding and at-risk check-ins.
- End of week: you decide which routine check-ins it can send in Supervised mode.
Good for
- Subscription and software businesses
- Coaches and course sellers with ongoing clients
- Any business where renewals matter more than new sales
